Procurement Specialist -F&B
The Procurement Specialist – F&B will efficiently manage the procurement process for all purchase requests across the hotel group, ensuring timely sourcing, accurate delivery, and compliance with company standards.
The role also leverages data and digital tools to enhance procurement operations, drive process improvements, and support business units in achieving cost efficiency, supplier reliability, and operational excellence.
RESPONSIBILITIES :
- Execute procurement processes efficiently and accurately, from requisition to order fulfilment.
- Review purchase requests for clarity, proper specifications, lead times, and sources of supply.
- Ensure purchase orders are approved on time and aligned with expected delivery dates.
- Conduct regular follow-ups on pending purchase orders to ensure timely delivery of goods and services.
- Maintain item data across all product categories, ensuring accuracy and consistency.
- Assist in automating procurement workflows and contribute to the development of data-driven procurement solutions.
- Support the Procurement Manager with Power BI dashboards or new analytics tools to track procurement performance and KPIs.
- Research and select preferred suppliers from the existing database in collaboration with the Procurement Manager.
- Conduct market research to identify potential suppliers when no suitable vendor exists in the current database.
- Follow up with suppliers on issues such as late deliveries, incorrect items, or product quality concerns.
- Collaborate with the Procurement Manager to escalate and resolve high priority supplier issues.
- Act as the first point of contact for hotel teams regarding procurement related queries and incident resolution.
- Liaise with internal requestors to clarify anomalies in purchase requests.
- Participate in weekly procurement review meetings, providing updates and insights.
- Assist in extracting, analysing, and interpreting purchasing data to support operational decisions.
- Provide feedback to improve procurement efficiency through process enhancements.
- Contribute to continuous improvement initiatives in collaboration with the Procurement Manager.
- Ensure all procurement activities comply with internal policies and procedures.
- Maintain proper documentation and records for audit and reporting purposes.
- Stay up to date with procurement best practices and regulatory requirements.
PROFILE:
- Bachelor’s degree in supply chain, Procurement, Business Administration, or related field.
- Professional certifications in procurement (e.g., CIPS, CPSM) are an advantage.
- Minimum 2–3 years of procurement or supply chain experience, ideally in the hospitality or F&B sector.
- Comfortable using ERP systems, Excel, and procurement tools (Power BI is an advantage).
- Good understanding of procurement processes, supplier management, and compliance.
- Strong communication, negotiation, and problem-solving skills.
- Organized, detail-oriented, and able to handle multiple tasks.
- Team player with integrity, adaptability, and a proactive mindset.
